Import a list of product or service items into Business Contact Manager

Business Contact Manager for Outlook stores details about the product and service items you use in your business in the Product and Service Items List. You can create this list by adding new items, or you can import a list of items from another application.

Tip: You can only export the Product and Service Items List in Business Contact Manager for Outlook along with Account or Business Contact records in the .bcm file format by using the Business Data Import and Export wizard. The Product and Service Items List cannot be exported into the .csv file format. For information about how to export the Product and Service Items List, see Manage the Product and Service Items List in Business Contact Manager.

To import a list of product and service items, the information must be in the following format:

  • In a comma-separated values (.csv) file     If the file is not already in this format, open the file in the appropriate application and save it as a .csv file.

  • Includes fields for Item Name, Item Description, and Item Price     Categorize your data by these three fields. You may also add an optional fourth field for the Item Quantity, and any values in that field will also be imported.

  • In separate lines     Create a separate line in the file for each item that you are importing, separated by commas (or by the list separator found in your Windows operating system, in Control Panel, Regional and Language Options, Regional Options tab), with no spaces before or after the commas. This syntax is shown in the following example.

The product prices and quantities cannot include currency symbols or internal punctuation, such as periods or commas. However, you can use periods or commas (depending on your locale settings) for currency. For example:

  • Instead of typing 10,000, type 10000.

  • Instead of typing 10.000, type 10000.

  • But you can type 10.50 when you are referring to a price of ten dollars and fifty cents.

Tip: To edit your locale settings, in Control Panel, double-click Regional and Language Options, and then, on the Regional Options tab, under Standards and formats, click the locale whose currency format you want to use.

Add to or replace a Product and Service Items List

When you import a list of items, you have the option of:

  • Adding the items in your file to the existing Product and Service Items list.

  • Replacing the existing Product and Service Items list with the items in your file. If you replace the existing list, Business Contact Manager for Outlook overwrites the information in the existing Product and Service Items List. No copy is made of the original list, but if you have backed up your Business Contact Manager database, you can restore this list.

Import a list of Product and Service Items

  1. On the Business Contact Manager menu, click Product and Service Items List.

  2. In the Product and Service Items List dialog box, click Import.

  3. Follow the instructions in the Import Items wizard.

    For assistance with a specific page of the wizard, click Help on that page.

    Note:  If you have a list of items in your accounting system, and Business Contact Manager for Outlook is connected to your accounting system, you can import this list into your Business Contact Manager database. When you are connected to your accounting system, click Refresh in the Product and Service List, to match the list with the list in your accounting system. This feature may not be available with your accounting system. For more information, see Help in your accounting system.
