Frequently Asked Questions about the OneNote Class Notebook app

What are OneNote Class Notebooks?

The OneNote Class Notebook app lets a teacher quickly set up a personal workspace for every student, a content library for handouts, and a collaboration space for lessons and creative activities, all within one powerful notebook.

With OneNote Class Notebooks, teachers can easily add students to a shared notebook to allow for differentiated instruction, content delivery, and a collaborative digital space. Students can work together while teachers provide real-time feedback.

What Office 365 plans are required to install the OneNote Class Notebook?

In order to have access to the OneNote Class Notebook and OneNote Staff Notebook apps, a teacher must have either the free Office 365 Education or their institution must have an Office 365 Education plan with SharePoint and OneDrive for Business. The OneNote Class Notebook and OneNote Staff Notebook will be available by default in the App Launcher for any user with a faculty license assigned to them.

I’m a teacher and I'm new to the Class Notebook app. How do I create Class Notebooks?

The OneNote Class Notebook app is preinstalled for all Education institutions with an Office 365 for Education license. To access the OneNote Class Notebook app:

  1. Sign-in to Office 365 at https://portal.office.com/Home.

  2. Click the app launcher in the upper left.

  3. You'll see the OneNote Class Notebook app in the list of apps available to you.

  4. Click the app to be taken to the Welcome page.

  5. Click the first icon to start creating your Class Notebook.

  6. The app will walk you through the following steps:

    • Choosing the notebook name

    • Showing you the share sections in the notebook where you can distribute class materials and help students collaborate

    • Adding co-teachers

    • Adding students

    • Configuring student sections

  7. At the end of the setup, you'll be able to open the notebook in OneNote and distribute the link to your students.

  1. Go to www.onenote.com/classnotebook.

  2. Sign in with your Office 365 account to be taken to the Welcome page, where you can create or manage your Class Notebooks.

Note: This web application creates all Class Notebooks in your (the teacher's) OneDrive for Business.

How do I add students to my class notebook? Can I add distribution lists?

You can add students to your class notebook by adding them individually, by pasting a list of students or by adding group aliases. The Class Notebook app now supports Active Directory Security groups and Modern Groups. Each student receives their own private section and gets access to the collaboration sections.

Note: Currently, we don't support distribution lists or SharePoint groups. If you aren't able to add certain student groups to your class notebook, please contact your IT admin to set them up as AD Security Groups or Modern Groups.

Note: Your students must have an Office 365 organization account to continue with this step. If you aren't sure whether or not they do, ask your IT Administrator.

  1. To add students individually, simply type their names in the text box and then press Enter. As you type, the app will look up possible matches. For example, you can type “Jacob” and it will find any students matching that name.

  2. You can add groups in the same manner as adding students. Simply type the name of the group; the app will show you suggestions from which you can select the group you would like to add.

  3. To add individual students in bulk, you can copy and paste a list of students as shown below. After you paste the students' names into the text box, the app will look up each name. The app may take a few moments to automatically resolve each name. For each match that isn't found, you can retype the name or remove the name from the text box.

Will the notebook get updated in the future when security groups get updated in our directory?

To update students in your class notebook, you will need to go through the Add/Remove Students process in the Class Notebook app, as shown below. Automatic syncing of group updates with your notebooks will be supported in the near-term.

  1. Sign in to Office 365

  2. Click the app launcher in the upper left.

  3. In the list of apps that appears, click Class Notebook.

  4. On the Welcome page that appears, click Add or remove students.

  5. Select the notebook that you'd like to update.

  6. In the Add/Remove student view, you'll see all the groups in the notebook marked with an asterisk (*). When you click Next, the Class Notebook app will access the latest membership of each group in the directory and update your notebook. At this time, you can choose to add/remove students and groups as well (this is optional).

  7. Click Next. You'll see a Preview of the final student list that you'll find in your notebook.

  8. If you don't like the way the preview looks, you can go back and make changes. If it looks good, click Done. The notebook will now be updated with the student list as per the preview.

How can I remove students from my notebook?

You can remove both, individual students and student groups from your notebook. To do this:

  1. Sign in to Office 365

  2. Click the app launcher in the upper left.

  3. In the list of apps that appears, click Class Notebook.

  4. On the Welcome page that appears, click Add or remove students.

  5. Select the notebook that you'd like to update.

  6. In the Add/Remove student view, you'll see all of the existing students and groups in the notebook under the Remove students list. To remove a student/group, simply click Delete next to the name. The student’s name will now be crossed out, marking the student for removal when you proceed to confirm the changes. You can click Undo if you make a mistake.

    Note: You cannot remove students who are inside of a group. To remove them from your notebook, contact your IT admin to remove the student from the group in Active Directory and then update your notebook (see section about "Will the notebook get updated in the future when security groups get updated in our directory?")

  7. Click Next. You will now see a Preview of the final student list that you will find in your notebook.

  8. If you don't like the way the preview looks, you can go back and make changes. If it looks good, click Update. The notebook will now be updated with the student list as per the preview.

How can I add or remove co-teachers in my Class Notebook?

Co-teachers get the same access permissions to the Class Notebook as you do; they can see all of the shared sections and each of the student notebooks. To add or remove co-teachers in your Class Notebook, simply launch the app and choose the Add or Remove co-teacher button.

  1. Select the Class Notebook you'd like to update.

  2. Add the name of the teacher you'd like to give permission to (or remove a teacher), and click Next.

  3. In the Preview, make sure the correct teachers are being added or removed, and confirm the changes by clicking Update.

Can I add a security group as co-teachers?

No, group support is only provided for adding students.

I’ve used the Class Notebook app before. What has changed?

We're providing customers with an easier way to create and access Class Notebooks. Teachers can now create notebooks in their OneDrive for Business without needing their IT admins to install the SharePoint app. To access the app:

  1. Sign-in to Office 365 at https://portal.office.com/Home.

  2. Click the app launcher in the upper left.

  3. You'll see the OneNote Class Notebook app in the list of apps available to you.

    Tip: You can also go to www.onenote.com/classnotebook and log in with your organizational email. You'll be taken to the Welcome page, where you can create new notebook, add students and teacher, or get links to Class Notebooks on your OneDrive for Business.

    Note:  If you previously created Class Notebooks on SharePoint sites, please continue to use the OneNote Class Notebook app that was installed on your site to manage those notebooks.

I’m a teacher. Why don't I see the Class Notebook app in the app launcher?

You may have the wrong license assigned to you. Please contact your IT admin to obtain the correct license for Office 365.

Why do students see Class Notebook in their App launcher/My apps?

The students may accidentally have been assigned the Faculty (Teacher) license of Office 365 Education. Please contact your IT admin to assign them the appropriate license.

What languages does the Class Notebook app support?

You can see the previous language expansion blog post and see the list of languages in the app in the SharePoint Store.

I'm a teacher. Where do my Class Notebooks get stored?

Teachers notebooks are stored in OneDrive for Business on Office 365. They are created under the Documents folders in OneDrive for Business and will be part of your allocated document storage there.

I'm a teacher. How do I find my Class Notebooks?

To find your Class Notebooks in OneDrive for Business, go the Class Notebook folder in the left navigation. Alternatively, you can open the Class Notebook app, go to Get Notebook Links and click on the Class Notebook that you'd like to access.

How can I access the Class Notebooks that I've already created on SharePoint Team Sites?

If you had previously created Class Notebooks on your school/class SharePoint site, please continue to use the Class Notebook SharePoint app to access them. To access your Class Notebooks on SharePoint:

  1. Log in to your SharePoint site.

  2. Go to Site contents.

    Click Site Contents to access the Class Notebooks

  3. Click the Class Notebook app.

    The App is installed.

I'm a student. Where do my Class Notebooks get stored?

For students, there is no personal storage location incurred on OneDrive for Business because the notebook resides in the teacher’s OneDrive for Business. If the Class Notebook is opened on a PC, Mac, or mobile device, the entire notebook is downloaded locally to that device and will just go towards that device’s storage limits.

I'm a student. How do I find my Class Notebooks?

In the left navigation of your OneDrive for Business folder, go to Shared with me. Here you'll find all of your Class Notebooks.

Click "Shared with me" to find your Class Notebooks.

How do I update the OneNote Class Notebook Creator app?

  1. Sign in as an administrator to Office 365.

  2. From the Office 365 App Launcher, choose Admin.

  3. Scroll to the bottom of the page and in the lower left, choose SharePoint.

  4. From the SharePoint Admin center, choose apps, and then App Catalog.

  5. Click the gear icon in the upper-right corner, and choose Site Contents.

  6. In the list of apps, find OneNote Class Notebook. It should say an update is available.

  7. Click the update link.

  8. You should see an update dialog. Click Get it, and then choose to Trust.

    Your app should now be updated.
