Change send and receive settings when you work offline

Send/Receive groups specify when and which mail items are sent and received. They also control updates to subscribed RSS Feeds and Internet Calendar subscriptions.

When you work offline, you might want to specify different settings. For example, you might want Outlook to connect to send and receive items only once an hour. You can also specify whether to include or exclude a Send/Receive group when F9 (Send/Receive All) is pressed and you are working offline.

  1. On the Send / Receive tab, in the Send & Receive group, click Send/Receive Groups.

  2. Click Define Send/Receive Groups.

    Keyboard shortcut    To open the Send/Receive Groups dialog box, press CTRL+ALT+S.

  3. Select the send/receive group that you want to modify.

    Note:  If you have not created custom Send/Receive groups, select the All Accounts group.

Change the frequency of offline updates

  1. Under Setting for group send/receive group name, under When Outlook is Offline, select the Schedule an automatic send/receive every n minutes check box.

  2. Enter a number between 1 and 1440. The latter number schedules an automatic send/receive once daily.

  3. Select or clear the Include this group in send/receive F9 check box.

Change whether a Send/Receive group is included when F9 is pressed and you are working offline

  • Select or clear the Include this group in send/receive F9 check box.
