Access and migrate your data (QuickBooks): options and information

In the Convert from QuickBooks Wizard, when Microsoft Office Accounting 2009 attempts to access QuickBooks data, QuickBooks recognizes Office Accounting 2009 as a separate program and displays security messages. You must accept these messages to complete the wizard.

Note: Accounting 2009 supports the import of data from the following versions of QuickBooks:

  • QuickBooks 2008 Pro, Premier, Enterprise, or Accountant

  • QuickBooks 2007 Pro, Premier, Enterprise, or Accountant

  • QuickBooks 2006 Pro, Premier, Enterprise, or Accountant

Allow Accounting 2009 access to your QuickBooks data

  1. In the wizard, click Allow Access. QuickBooks opens and the QuickBooks - Application with No Certificate dialog box appears.

    What to do if the QuickBooks - Application with No Certificate dialog box does not appear

    If the QuickBooks - Application with No Certificate dialog box does not appear when QuickBooks opens, follow these steps:

    1. Open your QuickBooks company file.

    2. If you are running a QuickBooks file that has multiple login users, select a user with Administrator permissions.

    3. Close any open QuickBooks dialog boxes.

    4. If the authorization dialog box still does not appear, minimize the QuickBooks window, and then click Retry on the Click Retry to retry setting your preferences message.

    What to do if the message Click Retry to retry setting your preferences appears

    If a warning message that suggests that you should Click Retry to retry setting your preferences appears when you click Allow Access, it can be due to one of the following reasons.

    The QuickBooks data file that you selected to import does not match the company that opens. To resolve this issue, do the following:

    1. Close the QuickBooks company.

    2. Open the correct company file.

    3. Close QuickBooks

    4. Click Retry.

      QuickBooks may have opened dialog boxes related to updates, registering, or multiuser settings. To resolve this issue, do the following:

    5. Close all open dialog boxes.

    6. Close QuickBooks.

    7. Click Retry.

      QuickBooks may be open when you click Allow Access. To resolve this issue, do the following:

    8. Close QuickBooks.

    9. Click Retry.

  2. In the QuickBooks QuickBooks - Application with No Certificate dialog box, select Yes, always; allow access even if QuickBooks is not running to allow access to the QuickBooks data file.

  3. If you are running a QuickBooks file that has multiple login users, click the Login as arrow and select Admin.

  4. (Optional.) Select the Allow this application to access personal data such as Social Security Numbers and customer credit card information check box.

  5. Click Continue.

  6. In the Confirm to Proceed dialog box, click Yes.

  7. In the Access Confirmation dialog box, click Done.

  8. Close QuickBooks.

  9. In the wizard, select the I have completed the above steps check box to confirm that you have completed these steps, and then click Next.

    Note: You cannot continue with the transaction migration until you confirm. An error message will appear if you select the confirmation check box and click Next without having completed the steps in the preceding procedure. Click Retry, and then repeat steps 3 to 9.

If the message Click Retry to retry setting your preferences appears after following the steps in the preceding procedure, do the following:

  1. In QuickBooks, on the Edit menu, click Preferences.

  2. In the Preferences dialog box, in the navigation pane on the left, click Integrated Applications.

  3. On the Company Preferences tab, under Application Name, select Small Business Accounting, and then click Remove.

  4. On the confirmation message, Are you sure you want to remove Small Business Accounting from the list of applications that have access to <company name>?, click Yes.

  5. Click OK.

  6. Close QuickBooks.

  7. Click Allow Access in the wizard.

  8. Repeat steps 3 to 9 of the preceding procedure.

Additional troubleshooting steps

There still might be a problem with allowing access or setting preferences after you complete the previous steps and you click Next in the wizard. One or more of the following error messages may appear:

  • Click Retry to retry setting your preferences     This message appears if you do not select Yes, always; allow access even if QuickBooks is not running in the QuickBooks - Application with No Certificate dialog box. Click Retry, and then follow these steps.

    1. Open your QuickBooks company file.

    2. In QuickBooks, on the Edit menu, click Preferences.

    3. In the Preferences dialog box, in the navigation pane on the left, click Integrated Applications.

    4. On the Company Preferences tab, under Application Name, select Small Business Accounting and then click Properties.

    5. In the Properties-Small Business Accounting dialog box, do the following:

      • Select the Allow this application to read and modify this company file check box.

      • Clear the Prompt before allowing access check box if it is selected.

      • Select the Allow this application to login automatically check box.

      • If you are running a QuickBooks file that has multiple login users, click the Login as arrow and select Admin.

      • (Optional.) Select the Allow this application to access Social Security Numbers, customer credit card information, and other personal data check box.

      • Click OK to close the dialog boxes.

      • Close QuickBooks.

    6. In the wizard, select the I have completed the above steps check box to confirm that you have completed these steps, and then click Next.

  • The process cannot access the file    The QuickBooks company file has not yet completely closed. Wait 10 seconds, and then click OK.

  • QuickBooks - the company file cannot be closed at this time    Accounting 2009 is still connected to QuickBooks. Click OK, wait thirty seconds, and then close QuickBooks.

In the wizard, select the check box to confirm that you have completed these steps, and then click Next.

Note:  You cannot continue with the transaction migration until you confirm.
