Work together with Excel

When you share your workbook with other people, you can all work on the file at the same time in Excel Online. This is called co-authoring. Co-authoring is also available in certain versions of the Excel app. Here are some more tips for collaborating with others.

Start at OneDrive.com

Just like Drive was your home for files, OneDrive.com is your new home for your files. Go there, and log in with your school or work account. Then click New > Excel workbook.

Share your workbook

  1. Select Share.

  2. Enter the names or email addresses of the people you want to share with.

  3. Select Can edit or Can view.

  4. Include a message if you'd like and select Share.

You can also select Get a link to create a link that you can copy into an email, or select Shared with to stop sharing.

Co-author a workbook

After you share your file, you can work on it at the same time with others.

  • For the best experience, work together in Excel Online and see real-time changes.

  • Under Share, you will see the names of who else is also editing the file.

  • Colored cells will show you exactly where in the document each person is working. Click a color to see who's editing that cell.

Add, edit, delete, and show comments

  • Add a comment – on the Insert or Review tab, select Comment, type your comment, and select Post.

    A little red triangle appears in the corner when a cell has a comment.

  • Edit - select Review > Edit Comment.

  • Delete – select Delete Comment, or select the  in the comment.

  • Show - select Review > Show Comments.

Chat while editing

  1. If there's another person editing your file, select Chat to open a chat window.

  2. Type some text and press Enter.

Your conversations won't be saved when you close a file. If you'd like to keep a record of your chat and have ongoing conversations, talk with your colleagues in Teams.
