Preview and print files

Before you print a document, preview it to make sure that everything looks right on the page.

  1. Select File > Print.

  2. Then select the options you want:

    • To see each page, select Next Page or Previous Page.

    • To change the size of the preview, select Zoom In or Zoom Out.

    • Select the number of copies you want to print.

    • Select the printer you want to use.

    • To print only certain pages, print some of the document’s properties, or print tracked changes and comments, adjust the Settings.

    Tip: If you need to return to the document and make a change, select Back.

  3. Select Print.

To preview or print an Office document, select File and then Print.

Preview the document.

To preview one page at a time, select Next Page.

For a closer look, select Zoom In.

To fix an issue before you print, select Back and make the change.

Select File and Print again.

Use your default printer, or switch printers.

For more than one copy of the document, change the value in Copies.

Print the entire document.

Or, to print just the page you’re on, select Print All Pages, and then Print Current Page.

To print certain pages, select Custom Print.

To print a range of pages, type the first and last page numbers, separated by a hyphen.

To print individual pages, type the page numbers, separated by commas.

Or, specify ranges of multiple pages and individual pages at the same time. Just separate them with commas.

To print just a specific area of the document, select that area and then select File and Print.

Select Print Selection.

If your document is too wide for an eight-and-a-half-inch page width, switch to Landscape Orientation.

To adjust margins, select the current Margins setting and change them.

To print a color photo and text in grayscale on your color printer, select Printer Properties and select Grayscale.

Preview the document and select Print.
