Create a flowchart

The flowchart templates include shapes you can use to show many kinds of processes.

Open the basic flowchart template

  1. Select File > New.

  2. Select Basic Flowchart.

  3. Select Create.

Add and connect shapes

  1. Select the Basic Flowchart Shapes stencil, if necessary.

  2. Select a flowchart shape and drag it onto the drawing page.

  3. Point to the shape, and point to the arrow that indicates the direction of the next shape you want to add.

  4. Select the shape you want to add.

Connect shapes

  1. Select Home > Connector.

  2. Point to the center of a shape until you see an outline around it.

  3. Draw a line to the center of the shape you want to connect to.

  4. Select Home > Pointer Tool to return to normal editing.

  5. To change the look of the connector, select it, select Line, and select a color, line weight, dash style, and arrow style.

Add text to a shape or connector

  1. Select the shape or connector.

  2. Type in the text.

  3. Select a blank area of the drawing page.

  4. To move the text, select the shape or connector, select Home > Text Block, drag the text to a different position, and select Home > Pointer Tool.

Fix alignment and spacing automatically

  1. Press Ctrl+A to select everything on the drawing page.

  2. Select Home > Position > AutoAlign & Space.

    If you don’t like the results, press Ctrl+Z and try some of the other Align & Space options.

Create a basic flowchart

My team needs a flowchart that shows our theater booking process.

To make sure I have all the shapes I’ll need, I’ll use a flowchart template. I go to File, select New, and choose the Basic Flowchart.

I select Create to start with a blank page.

All flowcharts need a starting point. I’ll drag a Start/End shape onto the drawing page and add a description.

To add text to a shape, I select it and begin typing.

When I’m done, I select anywhere outside the shape.

I’ll connect another shape to the Start/End shape to show the next step in the process.

A quick way to do this is to point to the Start/End shape, select the arrow where I want to add a shape, and select a shape.

I’ll select this Decision shape. Visio adds the connector for me.

I’ll connect and label a few more shapes.

Next, I need to add a Data shape. This time, I’ll drag the shape from the stencil to the drawing page.

Then I’ll connect it to the shape above it.

I select Connector Tool, draw a line between the two shapes, and select Pointer Tool to finish.

Now I’ll add a description to the connector.

I select it, and type the text.

All the shapes are added, connected, and labeled. My flowchart is looking better, but it needs a few adjustments.

I don’t want arrows on this line.

So, I’ll change the arrow style. I select Line, select Arrows, and choose None—the line with no arrows.

And, I want to move the text on this connector.

To do that, I select Text Block, drag the text to a different location, and select Pointer Tool to finish.

To make sure everything looks just right, I’ll select Position, and then Auto Align & Space, to automatically fix the alignment and spacing.

Once I save my diagram, it’s ready for my team to review.
