Use a screen reader to add images and media to a SharePoint page

This article is for people who use a screen reader program with the Office products and is part of the Office Accessibility content set. For more general help, see Office Support home.

Use SharePoint Online with your keyboard and Narrator, the built-in Windows screen reader, to easily add images from your local computer, SharePoint media libraries, or linked from other locations on your site or the web.

Notes: 

  • New Office 365 features are released gradually to Office 365 subscribers, so your app might not have these features yet. To learn how you could get new features faster, visit When do I get the newest features in Office 2016 for Office 365?.

  • For keyboard shortcuts, go to Keyboard shortcuts in SharePoint Online.

  • This topic assumes that you are using the built-in Windows screen reader, Narrator. To learn more about using Narrator, go to Get started with Narrator.

  • This topic assumes you are using this app with a PC. Some navigation and gestures might be different for a Windows phone or tablet.

  • When you use SharePoint Online, we recommend that you use Microsoft Edge as your web browser. Because SharePoint Online runs in your web browser, the keyboard shortcuts are different from those in the desktop program. For example, you’ll use Ctrl+F6 instead of F6 for jumping in and out of the commands. Also, common shortcuts like F1 (Help) and Ctrl+O (Open) apply to the web browser – not SharePoint Online.

Add an image to a SharePoint Online page

When using photos, images, clip art, or audio, you're responsible for respecting copyright. For images, the license filter in Bing can help.

  1. If you're not in edit mode already, on your SharePoint Home page where you want to add the image, press the Tab key until you hear "New, collapsed, menu item," and then press the Right arrow key. You hear: "Edit, menu item." Then press Enter to select.

  2. Press the Tab key until you reach the location where you want to add the image web part. You hear: "Add a new section or a web part, button." Press Enter. A dialog for searching or selecting the web part opens.

  3. Press the Tab key once. You hear: "Text." Then press the Right arrow key. You hear: "Image." Press Enter to select.

    Tip: You can use the dialog to select other media files to be added to your page, such as embedded code to display content from other websites, Office 365 videos, or videos or channels from your Microsoft Stream video portal.

  4. A dialog opens where you can select a recent image, or browse, upload, or use a link to insert the image you want. To select the source of the image, press the Up or Down arrow keys until you hear the source you want, and then press Enter. To browse the images or folders in the selected source, press the Tab key once and then use the arrow keys. To select an item, press Enter.

  5. To insert the selected image, press the Tab key until you hear "Open button" or "Add image button," and then press Enter. The image is added to the page, and the focus moves to the web part where the image was added.

  6. To save and switch to view mode, press the Tab key or Shift+Tab until you hear "Save and close, menu item," and press Enter.

Add a Hero web part

You can display up to five items in the Hero web part, including images. The Hero web part is included by default on Communication sites, but you can also add the Hero web part to other pages.

  1. To open the edit mode, on your SharePoint Home page where you want to add the Hero web part, press the Tab key until you hear "New, collapsed, menu item," and then press the Right arrow key. You hear: "Edit, menu item." Then press Enter to select.

  2. Press the Tab key until you reach the location where you want to add the Hero web part. You hear: "Add a new section or a web part, button." Press Enter. A dialog for searching or selecting the web part opens.

  3. Press the Tab key once. You hear: "Text." Press the Right arrow key until you hear "Hero," and then press Enter to select. A Hero web part containing five items is added to the page.

  4. To navigate the Hero web part, press Enter once and then use the Right or Left arrow keys to move between the items. As you move you hear "Select a link," and the location within the web part. To add an image to one of the items, when on the item you want, press the Down arrow key. You hear: "Select link, button." Then press Enter.

  5. A dialog opens where you can select a recent image, or browse, upload, or use a link to insert the image you want. To select the source of the image use the Up or Down arrow keys until you hear the source you want, and then press Enter. To browse the images or folders in the selected source, press the Tab key once and then use the arrow keys. To select an item, press Enter.

  6. To insert the selected image, press the Tab key until you hear "Open button" or "Add file button," and then press Enter. The image is added to the item, and the focus moves to the Hero web part where the image was added.

  7. To change the layout of the Hero web part, when on the Hero web part, press Alt+P. The Section dialog opens, and you hear: "Dialog section settings, focused on selected one column, radio button." To select a layout option, press the Up or Down arrow keys until you hear the option you want, and then press Enter.

  8. When done, press Esc to close the dialog. The focus moves to the Hero web part.

  9. To save and switch to the view mode, press the Tab key or Shift+Tab until you hear "Save and close, menu item," and then press Enter.

Add an Image gallery web part

Use the Image gallery web part to share collections of pictures on a page.

  1. To open the edit mode, on your SharePoint Home page where you want to add the Image gallery web part, press the Tab key until you hear "New, collapsed, menu item," and then press the Right arrow key. You hear: "Edit, menu item." Then press Enter to select.

  2. Press the Tab key until you reach the location where you want to add the Image gallery web part. You hear: "Add a new section or a web part, button." Press Enter. A dialog for searching or selecting the web part opens.

  3. Press the Tab key once. You hear: "Text." Press the Right arrow key until you hear "Image gallery," and then press Enter to select. An Image gallery web part is added, and the Image gallery dialog opens where you can change its properties.

  4. To change the properties of the Image gallery web part, do one of the following:

    • To change the layout from Tiles to Carousel, press the Tab key until you hear "Selected, Tiles, radio button," and then press the Right arrow key. You hear: "Selected, Carousel, radio button."

    • To change the tiles aspect ratio, with the Tiles layout selected, press the Tab key until you hear "Aspect ratio, collapsed, menu," and then press Spacebar to open the menu. Press the Down arrow key until you hear the option you want. To select, press Enter.

    • To automatically cycle through images in the Carousel layout, select Carousel, and then press the Tab key until you hear: "Off." Press Enter to select. You hear: "On."

    When done, press Esc to close the dialog. The focus moves to the Image gallery web part.

  5. To add the first image to the Image gallery web part, press the Tab key until you hear "Add images," and then press Enter.

  6. A dialog opens and you can select a recent image, or browse, upload, or use a link to insert the image you want. To select the source of the image use the Up or Down arrow keys until you hear the source you want, and then press Enter. To browse the images or folders in the selected source, press the Tab key once and then use the arrow keys. To select an item, press Enter.

  7. To insert the selected image, press the Tab key until you hear "Open button" or "Add image button," and then press Enter. The image is added, and the focus moves to the Image gallery web part where the image was added.

  8. To add subsequent images, when on the Image gallery web part, press the Tab key or Shift+Tab until you hear "Add," and then press Enter. The dialog to pick an image reopens, and you can select an image as described previously.

  9. To quit the Image gallery web part, press Esc. To save and switch to the view mode, press the Tab key or Shift+Tab until you hear: "Save and close, menu item." To select, press Enter.
