Define document retention policy

The feature described in this Help topic is available only if any of the following versions of both Office SharePoint Server 2007 and Microsoft Office Enterprise 2007 are installed: Chinese (Traditional), Chinese (Simplified), Japanese, or Korean.

  1. Click the Site Action tab on the top right side of the Site page where Group Approval is installed. If the tab is not shown, make sure that you are logged in as administrator.

  2. Click Site Settings to go to the Site Settings page. You may have to click Site Settings and Modify All Site Settings again according to the templates applied to sites.

  3. To go to the My Approval page, under the Group Approval Administration, click My Approval.

  4. On the taskbar on the top of the screen, click Settings, and then click Modify Policy Settings.

  5. To use expiration policy, display the Enable Expiration. This option is not selected because the default for Group Approval is permanent document retention.

  6. Define the displayed related spcification.

    • The retention period is      Specify the retention period.

    • A time period based on the item's properties      Select a criterion from Created, Modified, Assigned Date, or Status Changed Date and specify the retention period by day, month or year. Created is based on the time when the submitter created the document. Both Modified and Status Changed Date are based on the time when the approval was completed. However, Assigned Date is not used in Group Approval.

    • Set programmatically      For more information, see Help for Microsoft Office SharePoint Server. Click the Help link on the top right side of the Edit Policy page.

    • When the item expires      Specify how expired files should be handled. You cannot use the Start this workflow option in Group Approval.
