Configure page approval using Microsoft Flow

Configure page approval to add to the standard publishing process for a site. After adding page approval flow, new and updated pages will be not be published directly. Instead, only the completion of the approval flow will make changes visible to all readers of the site.

A site owner can configure page approval flow from the Flow menu of a pages library. Completing this process will create a page approval flow. All pages on the site will require page approval before publishing.

  1. From Configure page approval, select Create flow to create the page approval flow.

  2. From Create flow, check the flow's name is appropriate and specify the approvers.

    The approvers should either be site owners or people with full control or edit permissions for the site.

  3. After you select Create flow, page approval is configured.

    The pages library will have an additional column Approval Status representing the current state: Draft, Pending, Accepted or Rejected.

To turn off page approvals for a pages library:

  1. Go to the library.

  2. Select Settings > Library Settings.

    If you don't see these menu items, select Library on the ribbon, and then select Library settings.

  3. Under General Settings, select Versioning settings.

  4. In the Content Approval section, select No in response to Require content approval for submitted items?

When you turn off page approval, the associated page approval flow(s) is not deleted. To delete the page approval flow:

  1. Go to the pages library.

  2. Select Flow > See your flows.

    The Microsoft Flow website will display with a list of your flows.

  3. Select your flow's name to go to the flow details.

  4. Select Delete.

Once the flow is deleted, it is deleted permanently from Microsoft Flow.

Note: Page approval flows are currently available on SharePoint communication sites and modern team sites only.
