What’s new in Business Contact Manager for Outlook 2010

Microsoft Outlook 2010 with Business Contact Manager is an easy-to use contact management solution for small businesses. Contact Management workspace

It helps small business owners to centralize customer information. And it can be used to create and execute effective automated marketing campaigns, manage sales leads and opportunities throughout the sales process, and help employees provide service and follow up after the sale. It also provides tools for centralizing project information and for following up on project-related tasks.

This article describes new and updated features of Business Contact Manager for Outlook 2010.

Dashboard

Business Contact Manager for Outlook 2010 Dashboard with red box around Dashboard area. The Dashboard is the place to get a quick view of your key business metrics through the charts and graphs in the gadgets.

The Dashboard replaces the Business Contact Manager Home page.

Track your sales success using the Sales Funnel and Sales Pipeline gadgets. See the progress of your projects with the Business Projects gadget. View your top-selling products or customers using the Top Products and Top Customers gadgets.

Gadgets

Sales Funnel gadget Gadgets display a chart or graph of information from your Business Contact Manager for Outlook records. For example, the chart in the Sales Funnel gadget comes from the Sales Stage, Probability, andProducts and Services fields of Opportunity records.

You can choose how the data that is displayed in each gadgets. And you can arrange the gadgets the way you want on the dashboard and in the workspaces.

Workspaces

The workspaces are four role-based areas that you can use to view and manage your business data. They are, Contact Management, Sales (shown in the image), Marketing, and Project Management. The workspaces include a ribbon, a gadgets area, and tabs that display a single record type, such as Opportunities.

Sample database

Start Business Contact Manager for Outlook 2010 with sample data from the fictional Adventure Works Bicycle company. Use the sample database and its data to test a custom form layout, try out features such as importing data, and perform tasks such as linking records. You can switch to your company database at any time.

New r ecord type and enhancements

Lead record with Convert To button called out and box around Lead score section of record New Lead records include a customizable lead scoring criterion that helps salespeople identify and work on the most promising leads first.

When a customer moves from a prospect (a Lead) to a customer (Business Contact), you can easily convert the Lead record into a Business Contact record to reclassify customer.

Richer customization to fit your business needs

Customization has been expanded beyond adding and removing fields on form.

Another way to market your products and services: Call Lists

With Call Lists, you can easily choose the recipients, write or import a call script so that you deliver essentially the same message to each customer. Then track the results of each phone call.

Access your Business Contacts anywhere

View and edit your Business Contacts along with your Outlook Contacts by using the synchronization feature. If you access Outlook Contacts using Microsoft Outlook Web App, Microsoft SharePoint, Windows Live or a mobile device, you now also have access to your Business Contacts.

Business Contacts in Outlook Contacts folder. Each contact's information is displayed as a business card view. There is a red dotted line around two Business Contacts.

Note:  Business Contacts for Smartphone and Business Contacts for PocketPC have not been updated for Business Contact Manager for Outlook 2010.

More efficient project management

Manage Project Templates dialog box in Business Contact Manager for Outlook If your projects tend to be very similar to one another, you can define a project and its tasks once in a project template, and then re-use it as many times as you like.

In just a few clicks, you can easily start a new project from one of your project templates.

New feature names

  • Homepage is now the Dashboard

  • E-mail Auto-linking is now called E-mail Link and Track.
    This feature continues to provide a simple and effective way to associate and track all incoming and outgoing messages from your Accounts and Business Contacts.

Microsoft Office Accounting is no longer supported

Accessing or integrating Business Contact Manager for Outlook 2010 data with Microsoft Office Accounting is not supported.

Get around in Outlook 2010 with Business Contact Manager

Some of the ways you used to accomplish tasks in Business Contact Manager for Outlook have changed in this version. The following sections will help you get started.

Where is the Business Contact Manager menu?

Ribbon from the Contact Management workspace Just like the other menus in Microsoft Outlook 2010, the Business Contact Manager menu has been replaced with an enhanced ribbon, which is part of the Microsoft Office Fluent user interface.

Some commands have also been moved to the Backstage view. For information about the commands are available on the Business Contact Manager tab in the Backstage view, see Set options and use features in Business Contact Manager (the Backstage view).

Use workspaces rather than the Accounts, Business Contacts, and Opportunities folders

The Accounts, Business Contacts, Opportunities, Business Project, Project Task, and Marketing Campaign folders have been replaced with tabs that you access from the new workspaces.

What is a workspace?

Contact Management workspace with Ribbon, gadget, and Tabs areas labeled. The Reading Pane, which is part of the Tabs area, is also labeled. Workspaces are the areas where you perform your daily Business Contact Manager for Outlook tasks. The workspaces include a ribbon, gadgets area, and tabs which list a single type of record, for example, Business Contacts.

The records on a tab can be filtered, sorted and grouped to meet your needs. The tabs also include a Reading Pane where you can view a selected record.

Where are the Accounts, Business Contacts, Opportunities, Marketing, Business Projects, Project Tasks, and Communication History folders?

The folders are still available—they just require a few more clicks to display them. The workspaces are designed to be the primary areas where you manage your business information.

You can find the folders by doing the following:

  1. In the Navigation Pane, click the Business Contact Manager button.

  2. Double-click the Business Records folder to expand it.

    Tip:  Lead records are included in the Business Contacts folder.

In the Navigation Pane, under Business Contact Manager, click Contact Management, Sales, Marketing, or Project Management, click the tab that you want, and then click New.

Note:  In Business Contact Manager for Outlook 2010, you create marketing activities rather than marketing campaigns. Single or multiple marketing activities, such as mass e-mail, call lists, and direct mail print can comprise a marketing campaign.

Use records in Business Contact Manager

  • See list of Accounts, Business Contacts, Leads, Opportunities, Business Projects, Project Tasks, and Marketing Campaigns.

    Note:  In Business Contact Manager for Outlook 2010, you can view Leads separately from Business Contacts.

  • Open a record to view or edit the record.

  1. In the Navigation Pane, under Business Contact Manager, click:

    • Contact Management.

    • Sales.

    • Marketing .

    • Project Management.

  2. Do the following:

    • To see the list of records, click the tab.

    • To open a record, double-click it.

The Business Contact Manager Homepage has become the Dashboard.

  • In the Navigation Pane, click Business Contact Manager.

Get familiar with Business Contact Manager features and options.

  1. Click the File tab.

  2. Click the Business Contact Manager tab.

  3. On the Ribbon, in the Business group, click Create Record, and then click Move to Business Contact Manager.

Create a report

  1. In the Navigation Pane, click Business Contact Manager.

  2. On the Ribbon, click the Reports tab.
    Available reports are grouped by their related workspaces: Contact Management, Sales, Marketing, or Business Projects.
