Use TalkBack to manage your calendar and events in Outlook for Android

Schedule calendar events and get reminders on your Android mobile device by using the TalkBack screen reader and the Outlook Android app.

Notes: 

  • If you don’t already have it, download and install the Outlook for Android app from Google Play Outlook for Android app from Google Play.

  • The keyboard shortcuts and navigation in the Outlook app may differ from those in Outlook on the web, which you use in your device’s web browser.

  • To navigate and enter information and commands, you can use gestures, an external keyboard, or dictation.

  • This topic assumes that you are using the built-in Android screen reader, TalkBack.

In this topic

Start the Outlook for Android app

  1. Open the Outlook for Android app.

  2. If you have more than one Outlook account, the default account opens.

  3. By default, the Outlook app opens to your Inbox. To go to the Calendar, slide down to the bottom of the screen, move the focus left or right until you hear “Calendar tab,” and then double-tap. The Calendar view opens.

Use the Calendar view

In the Calendar view of the Outlook app, the heading includes, from left to right, the Open Navigation Drawer button, the current month Day Picker expand button, the Switch Away from current view button, and the Settings button.

To change the view in the Calendar, move the focus to the Switch Away button and double-tap. A menu opens. Slide down to select from the three options:

  • Agenda changes the Calendar view to a sequential list of the day and date, along with any agenda items for that day.

  • Day changes the Calendar view to open today’s appointments with the timeline of hours down the left edge and events listed next to their scheduled times.

  • 3 Day or Week changes the Calendar view to open a table of three or seven days in columns with the timeline of hours as rows down the left edge. This view presents three days on an Android phone and seven days on a tablet. Events for each day are next to their scheduled time.

The selected view opens below the Calendar view heading.

At the bottom of the screen is a menu bar with the following four commands:

  • Mail goes to the Inbox.

  • Calendar goes to the Calendar view.

  • Files goes to the Files view, where you can browse files from your email accounts, those stored on OneDrive, and more.

  • People goes to the People view, which shows your contacts.

Just above the People command in the Calendar view is the Add New Event button.

Navigate in the calendar

The default date is today’s date.

To pick a different day or month to work with in the view, in the Calendar view heading, move the focus to the Day Picker expand button and double-tap. The drop-down calendar for the current month opens.

  • To select a different day, slide down or across the calendar until you hear the date you want. To move the Calendar view to the selected date, double-tap.

  • To select an earlier month, use two fingers to swipe to the right.

  • To select a later month, use two fingers to swipe to the left.

  • To close the calendar, move the focus to the Day Picker button until you hear something like “September 2016, Day Picker collapse button” and double-tap. The drop-down calendar closes, the current view (like Agenda or Day) has the focus, and the view reflects the date you selected in the drop-down calendar.

If you use the Switch Away button to switch to a different view, such as the Agenda view or the Day view, the month and date you selected opens in that view.

To move to earlier or later days in any view, use two fingers to scroll, as follows:

  • To move to earlier days in Agenda view, use two fingers to scroll down. To move to later days, use two fingers to scroll up. Slide down the screen until you hear the titles, dates, and times of events.

  • To move to earlier days in Day view, 3 Day view, or Week view, use two fingers to scroll right. To move to later days, use two fingers to scroll left. Slide across the screen until you hear the titles, dates, and times of events.

Schedule an event

  1. Near the lower-right corner of the screen, move the focus to the Add New Event button and double-tap. The focus is in the Title text box.

  2. Type or dictate a name for the event.

  3. Set the date and times for the event.

    1. To create an event for a specific day and time period, slide down until you hear “Starts on” and double-tap. The calendar pop-up window opens.

    2. Slide through the calendar until you hear the date you want, and double-tap.

    3. Near the lower-right corner of the pop-up window, move the focus to the OK button and double-tap.

    4. Move the focus to the start time, and double-tap. The clock pop-up window opens with the focus on the hour.

    5. Slide around the face of the clock to select the hour, and double-tap.

    6. Slide around the face of the clock to set the minutes, and double-tap.

    7. Slide to the right of the selected time until you hear “AM” or “PM.” To toggle between AM and PM, double-tap.

    8. Move the focus to the OK button, and double-tap.

    9. Slide down until you hear “Ends on,” and double-tap. To set the event’s end time, use the same methods as for the Starts on box.

    Tip: To create an all-day event, slide down in the New Event pop-up window until you hear “All day event.” To toggle the switch on, double-tap.

  4. To set a location for the meeting, for example, the Board Room or the Northwind Conference Center, move the focus to the Location text box and double-tap. Type or dictate the name of the location you want to use.

  5. If you use multiple calendars, you can specify which calendar should contain the new event. Move the focus to the Calendar box, and double-tap. To hear the names of the different calendars, slide down, and then, to select the calendar you want to use for this event, double-tap.

  6. The default setting for alerts is 15 minutes before the event. To change the default alert time, move the focus to the Alert box and double-tap. To hear the various notification options, for example, None or 1 hour before, slide down. To select the option you want, double-tap.

  7. To invite people to the event, move the focus to the People text box, and double-tap. Type the names of the people you want to invite. As you type, Outlooksearches for and displays matching names in your contact list. To hear their names, slide down. To select a contact, double-tap.

    When you’re finished adding people to the event, in the upper-right corner, move the focus to the Done button and double-tap.

  8. To add more information about the event, move the focus to the Description box and double-tap. Type details about the event. When finished, in the upper-right corner of the Description pop-up window, move the focus to the Done button and double-tap.

  9. Indicate whether you want to save or discard the event.

    • To discard the event, in the upper-left corner, slide to the Close button and double-tap. You hear “Discard event, Cancel, Discard.” Move the focus to the Discard button, and double-tap.

    • To save the event, in the upper-right corner, move the focus to the Save button and double-tap. When you save the event, invitation emails are automatically sent to all invitees.

Open and edit an event

  1. In any Calendar view (Agenda, Day, 3 Day, or Week view), slide across the events. When you hear the title of the event you want to open, double-tap. The event opens in a pop-up window.

  2. To hear the title, day, date, time, location, and other information, slide down the event pop-up window.

  3. To edit the event, in the upper-right corner of the pop-up window, move the focus to the Edit button and double-tap. The Edit Event pop-up window opens. Slide down the window until you hear the name of the box you want to edit, and double-tap. Make the changes you want. When finished, in the upper-right corner of the pop-up window, move the focus to the Save button and double-tap.

  4. To close the event window, in the upper-left corner of the window, move the focus to the Close button and double-tap.

Respond to event reminders

If you have notifications turned on for your Outlook events, and if TalkBack is on, you’ll hear reminders of events at the predefined time prior to the event. The event reminder pops up on the screen. Slide down in the pop-up reminder to hear more about the event.

If you’re using an Android phone, the pop-up reminder includes buttons with options for responding to the reminder. Although your buttons might vary depending upon the type of email account you’re using, you have at least the following buttons:

  • Details opens the event.

  • Snooze closes the reminder until the event time.

  • Close closes the reminder without taking any action.

If you’re using an Android tablet, the reminder does not include buttons, but you hear the title and time of the event.
