Synchronize a notebook

Synchronization means reconciling changes to a notebook so that you are viewing the latest updates, whether you or someone else made the change. Synchronization occurs in the background at regular intervals. Occasionally you may want to manually synchronize a notebook, especially if you want to ensure you are seeing the latest content. For example, you may be working on a time-sensitive project or you may want to manually synchronize large amounts of page changes.

An overview of synchronization

There are several ways to synchronize a notebook, depending your device and operating system. Go to the section that’s appropriate for you to find out how to synchronize a notebook with:

OneNote 2016 for Windows

OneNote on the iPhone

OneNote for Android

Synchronize a notebook with OneNote 2016 for Windows

To synchronize:

  1. Click File > Info > View Sync Status.

    View the sync status of OneNote notebooks.
  2. In the Shared Notebook Synchronization dialog box, do one of the following:

    • To synchronize all of your shared notebooks, click Sync All.

    • To synchronize a specific notebook, click Sync Now.

To view synchronization status:

  1. Open a shared notebook.

  2. Choose File > Info > View Sync Status.

  3. In the Shared Notebook Synchronization dialog box, choose Sync Now or Sync All.

Synchronize a notebook with OneNote 2016 for Mac

To synchronize:

  1. To the left of the section tabs, click the name of the current notebook.

    View the sync status of OneNote notebooks.
  2. In the Shared Notebook Synchronization dialog box, do one of the following:

    • In the Notebooks list, move the mouse pointer over the name of the notebook you want to synchronize, and then click the Expand button Expand that appears next to it.

    • On the menu that appears, click Sync.

    Note: Whenever you’re working offline, your notebooks will show an offline icon Offline icon next to your notebook name.

To view synchronization status:

  1. To the left of the section tabs, click the name of the current notebook to open the Notebooks list.

  2. In the list of open notebooks, move the mouse pointer over the name of the notebook you want to check, and then click the Expand button Expand that appears next to it.

  3. Next to Last Sync, verify the date or time the notebook was last synchronized.

Tip: To check the last time your notebook was synchronized, open the Notebooks list, move the mouse pointer over the name of the notebook you want to check, and then click the Expand button Expand that appears next to it. To manually synchronize your notebook click Sync.

Synchronize a notebook with OneNote Online

Although you can’t synchronize a notebook in OneNote Online, you can click OPEN IN ONENOTE on the ribbon to manually synchronize notes from a OneNote desktop app.

  • To check the last time the notebook synchronized or to synchronize manually, tap File.

Tip: You may want to synchronize notebooks on Wi-Fi only, especially if there a lot of changes. Go to Settings > Cellular, scroll down to USE CELLULAR DATA FOR, find OneNote in the list, and then turn off the setting.

  1. Tap Notebooks.

  2. Locate the notebook that you want to synchronize and then open it.

  3. Tap Action Action button > Sync Now. The time it was last synchronized is at the top of the menu.

Synchronize a notebook with OneNote for Android

To synchronize all notes and sections and any new notebooks on OneDrive, on the Notebook page, tap the overflow menu Overflow menu on the action bar on the action bar , and then press Sync all.

Tip: You may want to synchronize notebooks on Wi-Fi only, especially if there a lot of changes. Tap Settings and then turn on Sync on Wi-Fi Only.

  1. If necessary, open the notebook you want to sync. Click < at the top of the OneNote window until you navigate back to the notebook.

  2. Click, and then click Sync.

  1. On any page, select More options More options .

  2. In the pane that appears, right-click (on a touch device, press and hold) the name of the notebook you’d like to synchronize.

  3. Select Sync This Notebook.
