Specifying a link to the financial data source system in Management Reporter

In the Link to Financial Data Source cell, enter any of the following references to the source system:

  • One or more segment values

  • An account set

  • A combination of a natural segment value and one or more responsibility segment values

  • A fully-qualified account

  • One or more dimension values

  • A dimension set

  • A combination of an Account dimension value and one or more responsibility dimension values.

For a fully-qualified-account-based system, segment values that include spaces must be surrounded by brackets ([ ]) to locate the space. For example, [12345 ] is a five-character segment value within a six-character segment.

For dimension-based systems, all dimension values must be surrounded by brackets ([ ]), for example [GREEN].

If you use the Microsoft Office PerformancePoint 2007 Management Reporter interface to enter values in the Link to Financial Data Source cell, Management Reporter automatically includes the brackets. If you type the values directly into the cell, also type the brackets.

Note:  Row definitions that contain the natural segment values provide the most flexibility. This type of row definition requires the use of a reporting tree to completely identify each fully-qualified account.

Note:  You can also create row definitions that contain a subset of the fully-qualified accounts. This approach works well when the same number of ampersands (&) is present in the structure of each unit in the reporting tree. Specifying the Natural Segment Only

The most flexible row definition is one that contains only the natural segment values. For example, to use the natural segment value 6010 as the advertising expense code for all of your departments, define 6010 in the row definition, and then specify the associated responsibility segment values as the reporting units in the reporting tree definition.

When you generate the report, Management Reporter combines the row definition with the reporting tree definition to create the fully-qualified account.

Specifying the Fully-Qualified Account

When you specify the fully-qualified account in the Link to Financial Data Source column, many of the row definition options are no longer available. For example, if you use the fully-qualified account to generate detailed departmental reports, you might not be able to generate higher-level reports.

If you enter the fully-qualified account in the row definition, that account is always used to generate reports. Only when there are no responsibility segments entered in the Link to Financial Data Source column in the row definition does Management Reporter attempt to locate responsibility segments in the reporting tree.

You can combine the fully-qualified account with natural segment values in a single row definition. This technique can be helpful when you want to use the Structure column in the reporting tree for most accounts, and you also want to include values for other responsibility segments, such as divisions or departments. This technique is also helpful for generating entity-wide information (such as total sales revenue) in one row, and then calculating the proportion of the department total to the entity total.

When you use a fully-qualified account that contains wildcard characters for each position outside of the natural segment, you include all accounts with that natural segment for the entire entity.

Note:  Any row that links to a fully-qualified account is included in every unit of your reporting tree, regardless of any responsibility segment values in the reporting tree. This configuration can cause duplication of amounts in summary unit reports.
