Sharing and collaborating on your files is a powerful capability that has traditionally been limited to desktop devices. Now Microsoft Word, Excel and PowerPoint on Android give you the ability to share and collaborate from your mobile or tablet as well.
Invite people to the file
To invite somebody to access this file follow these easy steps:
Note: You have to be signed into a Microsoft account, and the file you wish to share must be stored on Microsoft OneDrive or OneDrive for Business, in order to share files with this feature.
Tap the Share icon on the Ribbon.
Tap the Invite people to this file field.
Enter the email addresses of the people you would like to invite to this document.
Add an optional message briefly explaining what the file is or why you're sharing it with them. This isn't required, but it's a good idea to give them some information about the file you're inviting them to.
If you don't want this user to be able to edit the file, uncheck the Can edit box.
Choose Share. The other person will receive an automatically-generated email with a link to access the file and the message, if any, that you entered in step 4.
Once you invite the other person to share the file that file will automatically appear in the Shared (on Mac or iOS) or Shared with Me (Android) list. For more information about this see See files others have shared with you.
Once you've invited people to share your file you still have control over how your file is shared. To access the sharing management settings tap the Share icon on the Ribbon and then choose Manage. The Manage option also indicates how many other people the file has been shared with.
Note: The Manage option will only appear if the file has already been shared with others.
You'll get a dialog box that shows a list of the people this file has been shared with. Tap the three vertical dots next to the person's name to get a menu of options.
Note: If you don't see all four options you may have to scroll down in the menu to see the rest of them.
Send email will start a new email message to the person you selected, in the email app of your choice.
Invite again will resend the invitation message, in case the person lost the invite or didn't receive it the first time.
Change permission to: let's you adjust their editing permissions. If you gave them Can edit permissions when you shared the item with them initially, and now would like them to only have Can view permissions - or the other way around - you can change that here.
Stop sharing allows you to stop sharing the file with this person.
