Resolve duplicate Account or Business Contact records in Business Contact Manager

When you save an Account record with the same name or an e-mail address as one that already exists in your Accounts folder, Business Contact Manager for Outlook displays a A duplicate item has been detected dialog box with some options. Select the option appropriate for your purpose:

Add this as a new Account anyway

Select this option to add the new Account record to your Accounts folder, with the same name as the existing Account record. You can add an identifier to the name of one of the Accounts to distinguish it from the other, after this new Account is added to the Business Contact Manager database.

Update and open the existing Account with new information from this one

  • Select this option to have Business Contact Manager for Outlook compare all fields and replace conflicting data with the data from the new Account record. For example, if you have an Account named Wide World Importers, with the phone number 555-0167, and you add an Account with the same name but with a different phone number, Business Contact Manager for Outlook replaces the number in the existing Account record with the new number.

    Items that are copied from a new to an existing Account

    • Data

    • Links to Business Contacts. Adds additional links, if applicable, but will not replace existing links.

      Items that are not copied from a new to an existing Account

    • Categories

    • Comments box text

    • History items

Note: To include these items in the new Account, copy them manually from the original Account record, in the Business Contact Manager Deleted Items folder, in the Navigation Pane.

Open Existing Account

Click this button to open the existing Account. You can then choose to:

  • Make a manual comparison of the data between the two Accounts.

  • Make changes to one and delete the other.

  • Add an identifier to the name of one of the Accounts to distinguish it from the other, and then save both Accounts.
