If your publication uses more than two spot-color inks, printing the publication through a commercial printing service will be expensive, because the printer must use a separate plate for each spot-color ink.

Important:  Prior to making any commercial print related changes to the document contact your commercial print shop and discuss the specifics of your print job.

This check is performed only if you have set up your publication to print spot colors or process colors plus spot colors.

Fix this problem manually if you want to select which design elements are converted to specific spot colors, or if you want to convert your spot colors to process colors, which could save you money if you are printing a publication that uses any of the four process colors.

Automatic fix

Remove Spot Colors    Click this to open the Color Model dialog box and replace excess spot-color inks. When you delete a spot color in the list of inks, the Replace Ink dialog box opens and you can choose another color that is already in use.

  1. In the Replace Ink dialog box, click the Inks tab.

  2. Point to the spot color ink that you want to delete, click the arrow, and then click Delete.

  3. If the spot color ink is labeled In use, Microsoft Office Publisher will open the Replace Ink dialog box.

  4. In the Replace Ink dialog box, select one of the colors that is in use.

  5. Repeat steps 3–5 until you have only two spot color inks listed on the Inks tab of the Color Printing dialog box.

  6. Click OK.

Manual fix

To avoid additional printing costs, you must replace one or more spot colors that are currently being used in the publication. When you delete a spot color, the Replace Ink dialog box appears and you can select one of the other spot colors that is being used in your publication.

To fix this problem manually, do one of the following:

Replace spot colors

  1. Click the File tab to open the Backstage View, point to the Info page, click the Commercial Print Setting button, and then select Choose Color Model.

  2. Click the Inks tab.

  3. Point to the spot color ink that you want to delete, click the arrow, and then click Delete.

  4. If the spot color ink is labeled In use, Publisher opens the Replace Ink dialog box.

  5. In the Replace Ink dialog box, select one of the colors that is in use, and then click OK.

  6. Repeat steps 3–5 until you have only two spot color inks listed on the Inks tab of the Color Model dialog box.

  7. Click OK.

Convert spot colors to process colors

If you are using more than two spot color inks, or if you are using spot colors in addition to process colors, you can convert your spot colors to process colors.

  1. Click the File tab to open the Backstage View, point to the Info page, click the Commercial Print Setting button, and then select Choose Color Model.

  2. Under Define all colors as, click Process colors (CMYK).

  3. Click OK twice.
