Manage E-mail Auto-linking in Business Contact Manager

By using Business Contact Manager for Outlook, you can automatically link e-mail messages to and from specific e-mail addresses to an Account or Business Contact. To set up e-mail auto-linking, you must select both the e-mail addresses and the e-mail personal folder that you want to link them to.

Tip: Attachments to e-mail messages are not linked to records along with the e-mail messages. You can save an attachment as a file and then you can link the file to the communication history of the Business Project record.

The E-mail tab

In the Select the e-mail address you want to link section:

Search for      Type the e-mail address that you want to search for.

Link     Select the check boxes for the e-mail addresses that you want to link.

Select All      Click this button to select all e-mail addresses in the list.

Clear All      Click this button to clear all check boxes and stop linking e-mail messages.

In the Search and Link Addresses and Folders section:

Search and Link     Click this button to start the search for existing e-mail messages belonging to the e-mail addresses that you selected.

Note: In the Link Existing E-mail dialog box, you can limit your search by selecting Ignore e-mail older than, and entering a date.

The Folders tab

In the Select the folders you want to link section, select one or more existing e-mail folders that you want to link to a record.

Note: A plus sign  next to a folder indicates the existence of subfolders. To prevent accidental selection of those subfolders, Business Contact Manager for Outlook does not automatically select those subfolders for you. Expand the folder to select a subfolder.

Select All      Click this button to select all folders in the list.

Clear All      Click this button to clear all check boxes and your selections.

Click Search and Link to create links to existing e-mail messages.

Note: The Search and Link button appears dimmed and is unavailable until at least one e-mail address and one folder are selected.

In the Search and Link Addresses and Folders section:

Search and Link     Click this button to start the search for existing e-mail messages belonging to the e-mail addresses that you selected.

Note: In the Link Existing E-mail dialog box, you can limit your search by selecting Ignore e-mail older than, and entering a date.

Note: To access this form, on the Business Contact Manager menu, click Manage E-mail Auto-linking.
