Making a conference call

A conference call is a phone call that includes three or more participants.

Start a conference call

You can start a conference call using any of the following methods:

  • In your Contact List, CTRL+Click the people you want to conference with, right-click one of them, and then click Start a Conference Call.

  • In your Contact List, SHIFT+Click on contiguous names, right-click one of them, and then click Start a Conference Call.

  • In your Group List, right-click a group name, and then click Start a Conference Call.

  • Drag names (individually or collectively) from your Contact List into the Active window. This causes the Conversation window to appear. Click the Start, join, or rejoin a conference call button.

Once you place the call, each contact in the Conference window receives an invitation to the conference call. If a contact accepts, a phone icon is displayed next to their name in the Conference window. If they decline, no phone icon is displayed.

During a conference call

During a conference call, you can take advantage of various Communications Server Attendant features, including the following:

  • The conference leader can use the Invite button to invite additional contacts to the call. Just click the Invite button, and then drag the name from the Contact List to the Conference window.

  • If you want to invite someone who is not signed into Office Communicator or Communications Server Attendant, click Invite, type their phone number into the Search box, and then press ENTER.

  • Attendees can take notes in the Note space. These notes are unique to each conversation and are saved together with the conference in the attendee's Office Outlook Conversation History folder. Your notes are not seen or saved by other attendees.

  • Attendees can keep track of participation by paying attention to the Conference window. You are always at the top of the list in bold. The conference leader is identified by a "person" icon.

  • Attendees can participate in instant messaging (IM) conversations separately from the conference call.
