Create a flow for a list or library in SharePoint Online or OneDrive for Business

Use Microsoft Flow to set up workflows for lists and libraries in SharePoint Online and OneDrive for Business. Microsoft Flow provides automation of common business processes and connections to enterprise and custom data services.

Create a flow for a list or library

  1. Navigate to a list or library in your browser. For SharePoint Online, the option to create a flow will only be available for site members who can add and edit items. The option is always available for OneDrive for Business in the browser.

  2. At the top of the list or library, click Flow, and then click Create a flow.

  3. Select a flow template from the right-hand pane. Your browser will refresh with the main Microsoft Flow website (https://flow.microsoft.com).

  4. Follow the instructions on the Microsoft Flow site to connect to your list or library. The steps for one example SharePoint template are shown in the screenshot below.

    Note: If you have not already signed in to Microsoft Office 365 and SharePoint Online, you will be asked to do so.

  5. Configure the flow, and then click Create Flow.

  6. After the flow has been created, click Done.

Note: You can view all of your flows and check status on the Microsoft Flow website: https://flow.microsoft.com.

Some flows perform actions automatically when items are modified in a list or library.  For example, the flow template shown above sends an email when an item is added to the list. Whenever a new item is added, an email like the one shown in the screenshot below is sent.

Activating Microsoft Flow in a SharePoint list app

The next generation of SharePoint lists are being rolled out over time. The Office 365 administrator for your organization can set the default behavior for new lists. If the default behavior is set to the classic experience then you will not see the Flow menu at the top of your screen. If the new experience is available you can enable it for your list in the Advanced Settings for the list app. To learn more, see Switch the default experience for lists or document libraries from new or classic.
