Links for navigation (called navigation items) appear in both the top link bar and on the left side of pages on the Quick Launch. If you are working on a Microsoft Office SharePoint Server 2007 site on which the publishing features are enabled, you can use the Site Navigation Settings page to configure which navigation items appear, under what headings, and in what order. For more information about how navigation settings differ between publishing sites and non-publishing sites, see Introduction to site navigation.

Note: To manage navigation for a SharePoint site, you must have the Full Control or Design permission level for the site. You have one of these permission levels if you can access the Sites Settings page for the site and you see the Navigation command under Look and Feel (on non-publishing sites, you will see the Quick Launch and Top link bar commands under Look and Feel instead of Navigation).

  1. To go to the Site Navigation Settings page, do one of the following:

    • On the Site Actions menu, click Site Settings.

    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.

  2. In the Look and Feel column, click Navigation.

    Note: The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

What do you want to do?

Specify whether subsites and pages appear in site navigation

You can specify whether you want subsites and pages of your site to appear automatically in the top link bar and on the Quick Launch. In the top link bar, subsites and pages of the current site appear as tabs. (This assumes the site is not inheriting its navigation from a parent site.) If you choose to show subsites or pages for all of the sites in your site collection, subsites and pages underneath subsites of the top-level site appear as links in drop-down menus on the top link bar for the top-level site (and on any sites that inherit this top link bar).

Subsites and pages also appear on the Quick Launch. Sites appear on the Quick Launch as either headings or as links nested under their parent site, depending on whether the site inherits navigation from its parent, or whether subsites in the site collection are configured to show subsites and pages.

If you decide to display navigation items for subsites or pages, your site may appear cluttered if your site has many subsites or pages. If the structure of your overall site collection is not going to be centrally planned or managed, you might want to configure your site so that subsites and pages do not automatically appear.

  1. Do one of the following:

    • On the Site Actions menu, click Site Settings.

    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.

  2. In the Look and Feel column, click Navigation.

    Note: The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

  3. In the Subsites and Pages section, do one of the following:

    • To show links to subsites in the top link bar and Quick Launch, select the Show subsites check box.

    • To show links to pages in the top link bar and Quick Launch, select the Show pages check box.

    • To hide links to subsites in the top link bar and Quick Launch, clear the Show subsites check box.

    • To hide links to pages in the top link bar and Quick Launch, clear the Show pages check box.

      Notes: 

      • If you configure your site to show subsites and pages, but your site is set up to display the global navigation (top link bar) and current navigation (Quick Launch) for its parent site, you will not see links to these subsites and pages in the navigation for your current site unless the navigation for the parent site is also configured to display subsites and pages.

      • If you are configuring navigation for a top-level site, and you want pages or subsites underneath the subsites of the top-level site to appear on drop-down menus from the top link bar, you need to configure the top level site to show subsites and pages, and you also need to configure the individual subsites to show their subsites and pages.

      • If you do not want all of the subsites or pages to appear, you can hide pages and subsites individually after you have configured them to appear. For more information, see Show or hide individual subsites and pages. .

Configure automatic sorting for navigation items

Note: The Sorting settings on the Site Navigation Settings page apply to both the Quick Launch and the top link bar. Any changes you make are applied to both of these navigation elements. You can choose to sort navigation items automatically by specific criteria, or manually. If you choose to sort items manually, see Reorder navigation items for additional information about manually changing the navigation links.

  1. Do one of the following:

    • On the Site Actions menu, click Site Settings.

    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.

  2. In the Look and Feel column, click Navigation.

    Note: The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

  3. In the Sorting section, click Sort automatically to sort subsites, navigation links, lists, libraries, and pages automatically in ascending or descending alphabetical or numerical order based on items titles, Created Dates, or Last Modified Dates.

    Note: If you want to sort all navigation items manually except for pages, click Sort manually, and then select the Sort pages automatically check box. Only pages are sorted according to the settings configured in the Automatic Sorting section.

  4. In the Automatic Sorting section, in the Sort by list, do one of the following:

    • To sort items by title, click Title.

    • To sort items by the date they were created, click Created Date.

    • To sort items by the date on which they were last modified, click Last Modified Date.

  5. Specify the sort order by clicking either in ascending order (A,B,C or 1,2,3) or in descending order (C,B,A or 3,2,1).

  6. Click OK.

Change the order of navigation items

You can use the Move Up and Move Down buttons in the Navigation Editing and Sorting section of the Site Navigation Settings page to change the order in which links display in either the top link bar or the Quick Launch. You can also nest items under headings.

The availability and function of the Move Up and Move Down buttons depends on how you configured sorting, the type of item you selected, and the position of the item you selected.

The following table shows the behavior of the Move Up or Move Down buttons when you select the Sort Manually option.

Add, edit, or remove a heading or link

You can also use the Navigating Editing and Sorting section of the Site Navigation Settings page to add or edit a heading or link in the top link bar or the Quick Launch.

  1. Do one of the following:

    • On the Site Actions menu, click Site Settings.

    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.

  2. In the Look and Feel column, click Navigation.

    Note: The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

  3. In the Navigation Editing and Sorting section, click the Global Navigation heading to select the top link bar, or click the Current Navigation heading to select the Quick Launch.

    Note: If you do not see lists of links organized under the Global Navigation or Current Navigation headings, your site might inherit its global navigation from its parent site. In this case, you are limited to adding or editing links in the Quick Launch unless you want to stop inheriting global navigation from the parent site.

  4. Do one of the following:

    • If you want to edit a heading or link, click the heading or link, and then click Edit.

    • If you want to add a new heading, click Add Heading.

    • If you want to add new link, click Add Link.

      Note: If you select a heading and then add a link, the new link appears under that heading. If you select a link and then add a link, the new link appears at the same level as the link you selected.

    • If you want to delete a heading or a link, click the link or heading, and then click Delete.

  5. If you are adding or editing a heading or link, in the Web dialog box that appears, configure the following:

    • Title. Type the title of the navigation item as you want it to appear.

    • URL. Type the URL for the heading or link. A URL is required for links, but is optional for headings.

      If you want to open the URL that you specify to confirm that it is the correct URL, select the Open link in new window check box. When you click OK, the URL will open in a new window.

    • Description. Type a description for the heading or link.

    • Audience. If you want to restrict visibility, enter an audience for the heading or link. Only the audiences you enter can see the link or heading (and everything under the heading). If you do not enter any audiences, all audiences can see the link.

  6. Click OK.

Add or remove a list or library from the Quick Launch

On some sites, when you create a new list or library, a link to that item is automatically added to the Quick Launch. You can change the Navigation option at the time that you create a new list or library so that the list or library does not appear on the Quick Launch. You can also change the option later by editing the General Settings for the list or library. If the publishing features in Office SharePoint Server 2007 are enabled for your site, you can also use the Site Navigation Settings page to quickly remove multiple lists or libraries from the Quick Launch.

Add or remove an individual list or library from the Quick Launch

  1. Click View All Site Content.

  2. Click the name of the list or library.

    1. On the Settings menu settings menu, click List Settings, or click the settings for the type of library that you are opening.

      For example, in a document library, click Document Library Settings.

  3. In the General Settings column, click Title, description and navigation.

  4. In the Navigation section, do one of the following:

    • To remove the item from the Quick Launch, click No.

    • To add the item to the Quick Launch, click Yes.

  5. Click Save.

  6. Click the name of the site to return to the site home page.

Remove multiple lists or libraries from the Quick Launch

  1. Do one of the following:

    • On the Site Actions menu, click Site Settings.

    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.

  2. In the Look and Feel column, click Navigation.

    Note: The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

  3. In the Navigation Editing and Sorting section, select the list or library that you want to remove from the Quick Launch, and then click Delete.

  4. Repeat step 3 to remove any additional lists or libraries.

  5. When you are finished removing lists and libraries, click OK.

Show or hide individual subsites and pages

  1. Do one of the following:

    • On the Site Actions menu, click Site Settings.

    • On the Site Actions menu, point to Site Settings, and then click Modify All Site Settings.

  2. In the Look and Feel column, click Navigation.

    Note: The Navigation command appears under Look and Feel only if the publishing features are enabled for your site and you have the Full Control or Design permission level.

  3. In the Navigation Editing and Sorting section, select the subsite or page you want and do one of the following:

    • If you want to show a page or subsite that is hidden, select the item, and then click Show.

    • If you want to hide a page or subsite that is currently visible, select the item, and then click Hide.
