Basic tasks when using a screen reader with Microsoft Teams

Use your screen reader to work seamlessly with your team members in Microsoft Teams. You can access your team’s conversations, meetings, files and notes in one place.

Find and read new messages in a channel

  1. In a channel, press Tab or Alt+Left or Right arrow key until you hear: "Conversation tab, selected."

  2. Press Tab until you hear the latest message. JAWS reads the message.

    Note: To open and reply to the most recent thread, press Alt+R.

  3. To move in the message list, press the Up or Down arrow key. You hear the message content and details when on the message.

Navigate and read threaded conversations

  1. If the conversation you're in is a threaded conversation, you hear: "Threaded conversation from <sender name>." To open the threaded conversation, press Enter. You hear the first message in the thread.

  2. To move between messages in a threaded conversation, press the Up or Down arrow key. JAWS reads the messages as you move through them.

  3. To open a message for further actions, press Enter. To move the focus back to the threaded conversation, press Esc.

Like and save a message

  1. In a conversation, press Tab until you hear the last message in the conversation.

  2. Press the Up or Down arrow key until you hear the message you want to like or save.

  3. Press Enter. You hear: "Save this message."

    Note: If the message that you want to save is one that you've sent, you hear "More options" instead. Press the Right arrow key. You hear: "Unchecked, Save this message, checkbox."

    • To save the message, press Spacebar.

    • To like the message, press the Right arrow key. You hear: "Like button." Press Spacebar.

Find and read saved messages

  1. To open the Settings menu, press Alt+G. You hear: "Menu, change your status submenu." The focus is on the current status.

  2. Press Alt+Down arrow key until you hear "Saved messages," and then press Enter. A list of your saved messages opens. The latest message is the first item.

  3. To browse the list of saved messages, press Alt+Down or Up arrow key. JAWS reads the message content and the details when on the message.

Post messages to channels

Write a message

  1. In the Conversations tab, press C. Focus moves to the message composer box. You hear: "Compose new message, edit."

    Tip: To expand the composer box to access more editing options, press Alt+X. To collapse the box, press Alt+X again.

  2. Type your message. You can also add attachments or even emoji, stickers, or memes to spice up your message.

  3. To send a message, press Ctrl+Enter.

Add an attachment

  1. Press Alt+A. The attachment picker opens.

  2. Press the Up or Down arrow key until you hear the cloud location from where you'd like to add a file, and then press Spacebar.

  3. Press the Up or Down arrow key to move in the list of folders or files, and press Enter to open a folder.

  4. When you hear the file you'd like to attach, press Enter. The file is attached to your message.

Attach a local file
  1. To attach a file from your computer to your message, press Alt+A.

  2. Press Tab until you hear "Upload button," and then press Enter. You hear: "Open dialog, File name." The Windows Open dialog opens.

  3. Press Tab to navigate the dialog.

  4. When you've found and selected your file, press Tab until you hear "Open button," and then press Enter.

Add an emoji

  1. In the message composer box, press Alt+Q.

  2. Press Tab to move to the emoji list. Press the Left or Right arrow key to move in the list.

  3. When you hear an emoji you'd like to add, press Enter. The emoji is added to your message.

Add a sticker or meme

  1. In the message or composer box, press Tab until you hear: "Menu, actions menu."

  2. Press the Right arrow key until you hear "Choose a sticker," and then press Enter.

  3. To move to the stickers and memes category pane, press Shift+Tab. To move in the pane, press the Up or Down arrow keys. To select a folder, press Enter.

  4. To move to the list of stickers and memes in a category, press Tab. Then press the Left or Right arrow key to move through the list. To select, press Spacebar.

  5. Edit the sticker or meme text to your liking, and when you're done, press Tab until you hear "Done," and then press Spacebar.

Add or open files in a channel

Upload a local file

  1. In a channel, press Tab until you hear "Conversations tab, selected," and then press Alt+Right arrow until you hear: "Files tab," and then press Spacebar.

  2. Press Shift+Tab until you hear: "New."

  3. Press the Right arrow key until you hear "Upload," and then press Enter. The Windows Open file dialog opens.

    Note: You can also add a file using the message composer box. For instructions, see Add an attachment.

  4. Press Tab to navigate the dialog.

  5. When you've found and selected your file, press Tab until you hear "Open button," and then press Enter.

Create a new file

  1. In a channel, press Tab until you hear "Conversations tab, selected," and then press Alt+Right arrow until you hear: "Files tab," and then press Spacebar.

  2. Press Shift+Tab until you hear "New," and then press Enter.

  3. Press the Down arrow key until you hear the file type you'd like to create, and then press Enter.

  4. Type a name for your file, and then press Tab until you hear: "Create button."

  5. Add your content in the file. The file is automatically saved in the channel's Files tab.

Open a file

  1. In a channel, press Tab until you hear "Conversations tab, selected," and then press Alt+Right arrow until you hear: "Files tab," and then press Spacebar.

  2. The focus is on the first item in the list. Press the Down arrow key until you hear the file you'd like to open, and then press Enter. The file opens in the File Viewer. When you're done viewing the file, press Tab until you hear "Close button," and then press Enter.

  3. To edit the file, in the File Viewer, press Tab until you hear "Edit," and press Spacebar. A submenu opens.

  4. In the submenu, press the Down arrow key until you hear the options you'd like to select, and then press Enter. Edit the file, and your edits will be automatically saved.

    Note: When opening Office files, you'll be prompted to open the file in the Online version of the Office product.

  3. Press Tab repeatedly to move to the threaded conversations. The focus moves to the Reply field in the latest conversation. VoiceOver announces: "Reply, selected, button group, Reply."

  4. To navigate the messages in the conversation, first press Control+Option+Shift+Up arrow to leave the Reply field. Then press the Left and Right arrow keys. To navigate away from the conversation, press Tab.

Like and save a message

  1. Go to the message you want to like or save, and press the Left or Right arrow key until VoiceOver announces: "Toolbar." Press Control+Option+Shift+Down arrow to select the toolbar.

  2. To navigate the options, press the Right or Left arrow keys. VoiceOver announces the options as you move.

  3. When on the option you want to select, press Control+Option+Spacebar.

  4. Press Control+Option+Shift+Up arrow to return to the message.

Find and read saved messages

  1. To open the Settings menu, press Option+G. The focus is on the status option.

  2. Press Control+Option+Right arrow key until VoiceOver announces: "Saved messages," and then press Control+Option+Spacebar to select.

    A list of your saved messages opens with the latest one at the top.

  3. Press Tab repeatedly until VoiceOver announces a saved message. To browse the list of saved messages, press the Right or Left arrow keys. VoiceOver reads the messages as you land on them.

Post messages to channels

Write a message

  1. When you're on the Conversations tab, press C. The focus moves to the message compose box. VoiceOver announces: "Compose new message, edit text."

    Tips: 

    • To expand the compose box and access more editing options, press Option+X.

    • The box is automatically collapsed when the message is sent. You can also press Tab once to move to the Collapse compose box button, and then press Control+Option+Space to select.

  2. Type your message.

    Tip: You can also add attachments or even emoji, stickers, or memes to spice up your message. To navigate to the emoji and stickers menus, press Tab once, and then press the Right arrow key until you hear the menu you want to open. Press Enter to open the menu, and then type what you want to search for, or press Tab to go straight to the gallery. To navigate the options in the gallery, use the Right or Left arrow keys.

  3. To send the message, press Control+Enter.

    Tip: When the compose box is not expanded, you can send a message by just pressing Enter.

Add an attachment

  1. In the compose box, press Option+A. The attachment picker opens.

  2. Press the Right or Left arrow keys until you hear the cloud location from where you'd like to add a file, and then press Control+Option+Spacebar to select.

  3. Press the Right or Left arrow keys to move in the list of folders or files.

  4. When you hear the file you'd like to attach, press Enter. The file is added and you can find it on the Files tab.

Attach a local file
  1. To attach a file from your computer to your message, press Option+A.

  2. Press Tab until you hear "Upload button," and then press Control+Option+Spacebar. The dialog for selecting a file opens.

  3. Press Tab to navigate the dialog.

  4. When you've found and selected the file, press Enter. The file is added to the thread. You can also find in on the Files tab.

Add an emoji

  1. In the compose box, press Option+Q.

  2. Press Tab to move to the emoji list. Press the Left or Right arrow key to move in the list.

  3. When you hear an emoji you'd like to add, press Control+Option+Spacebar. The emoji is added to your message.

Add a sticker or a meme

  1. In the compose box, press Tab until VoiceOver announces: "Attachment, menu item."

  2. Press the Right arrow key until VoiceOver announces: "Choose a sticker." Press Control+Option+Spacebar to open the menu.

  3. To move to the stickers and memes category pane, press Shift+Tab. To move in the pane, press the Right or Left arrow keys. To select a category, press Enter.

  4. To move to the list of stickers and memes in a category, press Tab. Then press the Left or Right arrow keys to move through the list. To select an item, press Control+Option+Spacebar.

  5. If you want, you can edit the sticker or meme text. When ready, press Tab until VoiceOver announces: "Done, button." Press Control+Option+Spacebar to select the button.

    The sticker or meme is added to your message in the compose box.

Add or open files in a channel

Upload a local file

  1. In a channel, press Tab until VoiceOver announces: "Conversations, tab." Then press Option+Right arrow key. The focus moves to the Files tab and VoiceOver starts reading the attached files.

    Note: You can also upload a file using the message compose box. For instructions, refer to Add an attachment.

  2. Press Tab until VoiceOver announces: "New, create a new folder or file."

  3. Press the Right arrow key until VoiceOver announces: "Upload, upload files and folders." Press Control+Option+Spacebar to select the Upload button, and then press Enter to open the dialog.

  4. In the dialog, press Tab to navigate the menu.

  5. When you've found and selected the file, press Enter.

    The file is uploaded and available on the Files tab in your channel.

Create a new file

  1. In a channel, press Tab until VoiceOver announces: "Conversations, tab." Then press Option+Right arrow key. The focus moves to the Files tab and VoiceOver starts reading the attached files.

  2. Press Tab until VoiceOver announces: "New, create a new folder or file." Press Enter to open the menu.

  3. Press the Right arrow key until you hear the file type you'd like to create, and then press Control+Option+Spacebar.

  4. Type a name for your file, and then press Tab until VoiceOver announces: "Create, button." Press Control+Option+Spacebar to select the button.

  5. Add your content in the file. The file is automatically saved on the Files tab in the channel.

Open a file

  1. In a channel, press Tab until VoiceOver announces: "Conversations, tab." Then press Option+Right arrow key. The focus moves to the Files tab and VoiceOver starts reading the attached files.

  2. Press Tab until VoiceOver starts reading the attached files again.

  3. Press the Right arrow key until you hear the file you'd like to open, and then press Control+Option+Spacebar to select.

    Note: When opening Office files, you'll be prompted o open the file in the Online version of the Office product, and an additional sign-in may be required.

  4. To edit the file, in File Viewer, press Tab until you hear "Edit," and press Control+Option+Spacebar to select. A submenu opens.

  5. In the submenu, press the Down arrow key until you hear the options you'd like to select, and then press Control+Option+Spacebar.

  6. Edit the file in the editor. Your edits will be automatically saved.

  7. To close the file, press Command+Q.

  2. When on the channel you want to read, double-tap the screen. The channel opens.

  3. To view the latest threaded conversation, make sure the Conversations tab is opened. To open the Conversations tab, swipe right until you hear "Conversations tab" and then double-tap the screen.

  4. To go to the latest threaded conversation, swipe right. VoiceOver announces the latest threaded conversation. Conversations are announced as: "Message from <team member>, <date>, <message>." To browse to older conversations, swipe left.

  5. To open a conversation, when on the message you want, double-tap the screen. The Conversation opens.

  6. To reply to the conversation, swipe right until you hear "Reply, text field" and then double-tap the screen. Using your on-screen keyboard type your message. To go to the keyboard, swipe right until you hear: "Q." To send your message, swipe right or left until you hear "Send" and double-tap the screen.

    Tip: You can also find the keyboard by exploring the items on the screen. To explore, place a finger on the screen and drag it around. VoiceOver announces the items as you land on them. To select an item, lift your finger and double-tap the screen.

  7. To close a Conversation, swipe left until you hear "Back button" and double-tap the screen.

Like and save a message

  1. In a Conversation, to like or save a message in a threaded conversation, swipe right or left until you hear the message you want. Messages are announced as: "Message from <team member>, <date>, <message>."

    Note: While you browse between messages you will also hear "Profile photo from <team member>" and "Message options."

  2. When on the message you want, to go to the message options, swipe right. You hear: "Message options." Double-tap to select.

  3. The message options menu opens and you hear: "Like button." Do one of the following:

    • To like the message, double-tap the screen.

    • To save the message, swipe right until you hear "Save button" and double-tap the screen.

  4. The menu closes, and the focus moves to the Conversation.

    Tip: You can also send a message that includes a photo saved on your phone. To send a photo, while typing your message, swipe right or left until you hear: "Tap to attach images." Double-tap the screen. Swipe right until you hear "Photo library" and double-tap the screen. Then select a photo from your Photos library.

  4. Press Tab and the arrow keys to navigate the dialog.

  5. When you've found and selected your file, press Alt+O.

Create a new file

  1. In a channel, press Tab until you hear "Selected, Conversations tab item," and then press Alt+Right arrow until you hear "Files tab item," and then press Enter.

  2. Press Shift+Tab until you hear "New, create a new folder or file," and then press Enter.

  3. Press the Down arrow key until you hear the file type you'd like to create, and then press Enter.

  4. Type a name for your file, and then press Tab until you hear: "Create button."

  5. Add your content in the file. The file is automatically saved on the channel's Files tab.

Open a file

  1. In a channel, press Tab until you hear "Conversations tab, selected," and then press Alt+Right arrow until you hear "Files tab item," and then press Enter.

  2. Press the Down arrow key until you hear the file you'd like to open, and then press Enter. The file opens in the File Viewer. When you're done viewing the file, press Tab until you hear: "Close button," and then press Enter.

  3. To edit the file, in the File Viewer, press Tab until you hear "Edit," and press Spacebar. A submenu opens.

  4. In the submenu, press the Down arrow key until you hear the option you'd like to select, and then press Enter. Edit the file, and your edits will be automatically saved.

    Note: When opening Office files, you'll be prompted to open the file in the Online version of the Office product.
