Attach files to email messages and calendar events in Outlook.com or Outlook on the web

You can attach files from your computer, OneDrive, or other storage account to email messages and calendar events and share them with others. You can also embed pictures in your email messages and calendar events.

Improvements are coming to Outlook.com; in fact, some customers are already enjoying the new Outlook.com experience. How you attach files to email messages depends on whether you've been upgraded to the new experience. For instructions about attaching a file, select the link below that matches your mailbox.

Attach a file or insert a picture (classic experience)

If you want to send pictures or other files in Outlook.com, you can:

  1. To start composing an email, click New.

  2. Click Insert, and then click Files as attachments, Pictures inline, or Share from OneDrive.

  3. Browse your PC or OneDrive and select a file. For multiple files, hold down the Ctrl key while selecting them. If you select OneDrive, your recipient only receives a link to the files you want to share.

  4. Click Open.

Note: To remove any file from the email, right-click the file thumbnail, and then click Remove.

Attach a file to an email message (new experience)

The file can be a document, spreadsheet, picture, and so on.

  1. Open a new email message or respond to an existing message.

  2. Under the Outlook Mail navigation bar, select Attach, and choose the location from which you'll attach the file:

  3. Select a file by doing one of the following:

    • Insert files from OneDrive: Select Files, and double-click a file to insert it into your email message. You'll be asked whether to attach the file as a OneDrive file or as a copy. Attaching a OneDrive file means all recipients gain access to the same file where they can co-author, review, and edit; attaching a copy means everyone gets a separate copy to review and edit.

    • Insert files from your computer: Select Computer, select a file, and then select Open.

    • Insert files from a storage account: Select the account (e.g., Dropbox), and double-click the file to insert it into your email message. You'll be asked whether to attach the file as a shared file or as a copy. When you share a file on a storage account, recipients will receive a link to the file and be given permission to access it. See Use a storage account with Outlook.com for more information.

      Notes: To remove a file that you attached, select x in the upper-right corner of the attachment.

      Delete an attachment

Attach a file to a calendar event (new experience)

  1. Open the calendar event.

  2. Under the Outlook Calendar navigation bar, select Attach, and choose from where you want to insert a file:

    • Insert files from OneDrive: Select Files, and double-click a file to insert it into your email message. You'll be asked whether to attach the file as a OneDrive file or as a copy.       Delete an attachment

Insert a picture in an email message or calendar event (new experience)

  1. Open the message or calendar event.

  2. Select the picture icon to insert a picture from OneDrive (Outlook.com accounts only) or your computer.

  3. Drag the corner handles to make the image bigger or smaller.

  4. Right-click the image to see formatting options.

Tips for sending and receiving file attachments

  • If you reply to a message that has an attachment, the attachment won’t be included in the reply.

  • Don't open an attachment sent in an email message unless you trust the content and the person who sent it to you. Attachments are a common method for spreading computer viruses. Use the Reading pane to preview the message ( Settings icon > Display settings > Reading pane) before opening it.

  • Long file names of attachments might be shortened in Outlook.com or Outlook on the web. This won’t affect the contents of the file.
