You can import term sets into the SharePoint Term Store Management Tool instead of manually creating term sets from scratch. This can save you time, especially if you have many terms. For more information creating term sets manually, see Create, configure, and manage groups and term sets.

Open the Term Store Management Tool

To open the Term Store management tool, select the SharePoint environment that you use, and then follow the steps.

  1. In SharePoint in Microsoft 365, click Settings SharePoint 2016 Settings button on title bar., and then click Site settings.

  2. Under Site Administration, select Term store management.

  3. In the Term Store management tool, click View a sample import file to download a copy of the import file.

  4. Use the sample file as a template for creating an import file.

    You can import a term set using the template or other UTF-8 CSV (comma-separated values) formatted file.

  5. Import the file into the desired group to create a new term set.

  1. From the site collection Home page in SharePoint Server, select Settings SharePoint 2016 Settings button on title bar. and then click Site settings.

  2. On the Site Settings page, click Term store management in the Site Administration group.

  3. After you open the Term Store management tool, download a copy of the import file and then import a term set.

  1. In the Term Store Management tool, you can download a copy of a .CSV (comma-separated values) file that you can use to compile the terms in your term set.

  2. Fill out the import file by using your term set values

  3. Arrange the terms in a hierarchy, which can be up to seven levels deep.

  • Each import file can contain a single term set. If you want to import multiple term sets, you have to create a file for each term set. Before you fill out the import file, you'll want to give some thought about how you want to group your organization’s metadata into term sets and terms.

You must be assigned to a Term Store Administrator or a Group Manager role to import term sets. For more info about managed metadata roles, see Assign roles and permissions to manage term sets.

  1. Open the Term Store Management Tool.

  2. Select the heading of the taxonomy in the tree view pane on the left,

  3. In the Sample Import section, click View a sample import file on the General tab of the properties pane.

  4. Click Save if you get a File Download dialog box, and select the location where you want to save the file. Some browsers will automatically download to a default location, such as Downloads.

  5. Open the sample import file that you have downloaded in Excel or other spreadsheet viewer.

    The file should have the name ImportTermSet.csv, and study the file to become familiar with the hierarchy of a term set.

  6. To add terms, delete all rows in the CSV except the first to create a template, and then enter the terms information that you want to use.

  7. Save the file as a CSV file.

  8. Open the Term Store Management Tool from Site settings.

  9. In the tree view pane on the left, expand the groups to find the group where you want to import the term set.

  10. Point to the group, select the arrow that appears, and then select Import Term Set.

  11. In the Term set import dialog box, select Browse, locate the import file that you have updated with the term set values, and then select Open.

  12. In the Term set import dialog box, select OK.
